Vacancy#: UNMIL-DMS/CAS/GS - 08-1766 | Deadline: 20 August 2008 | Post Title: Administrative Assistant - one position | Level: GL/3 | Organizational Unit: General Services Section | Location: Monrovia | Initial Appointment: Initial three (3) months subject to operational requirements and satisfactory performance.

Description of Main Duties:
Under the overall supervision of the Chief General Services and within the limits of delegated authority, the incumbent will be responsible for, but not limited to, the performance of the following duties: · Initiate, process, monitor, review and follow-up on activities related to the administration of the section and identify and resolve diverse administrative issues as they arise;
· Prepare and process monthly attendance records, MOPs, leave requests and associated forms for the Section’s staff members; · Prepare, process and follow-up on administrative arrangements with regards to staff official travel; · Maintain unit files as required both in hard and soft copies; · Advise staff with respect to administrative procedures and processes; · Liaise with UNMIL’s central administrative services as necessary; · Organize and take minutes of unit meetings; · Manage the required office supplies such as stationery materials and other resources ; · Using the Mercury System, record and prepare expenditures, allotments and requisition in line with acquisition plan and cost allocation center; · Update the budget tables and record variations · Prepare basic statistical tables and financial reports. · Assist in acquiring of inputs from Cost Allocation Center in preparing the section Acquisition Plan. · Prepare Service Certification reports and Miscellaneous Obligation Documents (MOD) for Cost Allocation Center under General Services Section. · Provide general office support services such as drafting routine correspondence and their distribution to various offices; · Maintain files of rules and regulations, administrative instructions and other related documentation; · Perform other duties as required. Professionalism: Knowledge and understanding of United Nations general administrative procedures with an aptitude to perform multi-tasking. Ability to establish and maintain productive official partnerships with clients;
Planning and Organizing: Demonstrated planning and organizational skills, ability to prioritize and handle several assignments at once and ability to perform under tight deadlines. Capable to work with high speed and under pressure while maintaining accuracy and paying attention to details. Commitment to continuous learning – Initiative and willingness to learn new skills. Communication: Excellent communication skills (spoken and written). Teamwork: Interpersonal communication/relation skill. Ability to establish and maintain an effective working relationship in a multi-cultural, multi-ethnic environment with sensitivity and respect for diversity.
Qualifications & Experience Education: High school or equivalent diploma plus a combination of supplementary certification/diploma or other academic qualifications/training in secretarial, computer studies, finance, human resources, and personnel management. Work Experience: A minimum of three to four (3-4) years of progressively responsible experience in finance, accounting, human resources, administrative services, or other related fields. Languages: Fluency in oral and written English is required; knowledge of other official languages is desirable. Technology Awareness: Excellent computer skills highly required.
Preference will be given to equally qualified women candidates.
